The New Norm: Digitised Signatures

Over the last decade, and particularly during the pandemic, documents have become more likely to arrive in an email or as downloads rather than on physical paper. If you need to send a signed document back to someone, it’s easy to print and sign it beforehand. What if you need to send it back via email or another online method?

Enter digital signatures.  In Malaysia, they’re governed by the Digital Signature Act (DSA) 1997 which states that digital signatures that a document signed with digital signature in accordance with the DSA shall be as legally binding as a document signed with handwritten signature.

That being said, there are a couple of aspects of digital signatures that can cause problems. The first is reviewing the document later on. If you use a tool any email marketing tool (e.g. Mailcxxxx) or one of the many other services that attach digital signatures to outgoing mailings, no matter how securely you handle your files, they can be easily compromised for later review.

Other services , such as Google Drive do not allow their servers to be accessed by unauthorised users. You could request via these services to send your data via a secure email attachment instead of through an insecure server connection, though they’re unlikely to do so without good reason.

    Happy signing securely and seamlessly!

With SigningCloud you’d be able to enjoy UNLIMITED signer(s) & document e-signing. Send a limitless number of documents for review and signing to as many signers as you wish! It doesn’t get any better than that.

    The other benefits include:

    • Universal signing platform –  SigningCloud is a universal e-signing platform that supports multiple eKYC (electronic Know-Your-Customer) and Certificate Authority (CA) providers
    • Highly secure and protected – multi-layered encryption, unique integration keys, 3-Tiered System Deployment, strong 2-Factor Authentication (2FA), multi-layered firewalls and secure hardware level cryptography
    • Tamper-proof –  Once a document has completed the signing process on SigningCloud, it will be ‘locked’ to prevent any unauthorised alterations. In the event an unauthorised modification is made to the signed document(s), each recipient of it will be able to detect it easily through a common PDF document viewing tool.
    • Digital identity verification – SigningCloud uses a widely trusted eKYC system by verifying that each and every signer’s ID on the platform is genuine.
    • Long-term validation – SigningCloud is embedded with PKI technology which associates the signature and the signer with the time and date the e-signature that was placed – designed to facilitate long-term validation and prevent instances of repudiation.
    • Regulatory compliant – All signatures created via the platform can be recognised as effective, valid and enforceable under the Electronic Commerce Act 2006 and also the Digital Signature Act 1997 if the signature is verifiable by a valid digital certificate issued by any licensed certification authority in Malaysia.

Although most of the time we only require just one signee to sign our documents, SigningCloud takes it one step further by letting its users create and sync as many signatures as they wish. That could be useful if you have to sign documents for your boss or a member of your family (with their permission, of course).
